The introduction of an intranet affects all employees. The more employees there are, the more important it is to have a well thought out, efficient and effective approach. Even the best plan is just a guide. This is difficult for most large organizations to comprehend. When you have more than 1,000 employees, it is highly advisable to consult with experienced intranet specialists. When you have more than 10,000 employees, you certainly can't simply plan and then implement such a system.

Only those who gradually reshape their plans are successful

Only iterative models, which are regularly tested with employees to measure the impact and effectiveness, have good results. If you want to be successful, you need to be prepared to alter your plans. You need to have an experienced intranet project team which has solved problems and overcome challenges in many companies. Experienced project participants greatly enhance the intranet project team.

An experienced and structured approach 

An iterative approach, however, does not guarantee a clear plan and structure. Based on many large projects and the need for standardization, our consultants have developed a project template for intranet projects, which we use as a guideline for Linchpin projects. 

The above PDF document provides a comprehensive and well thought out plan for all workshops usually run during an intranet project. A Kickoff Workshop is followed by a Structure Workshop, a Concept Workshop, and finally a Design Workshop. There is 'homework for clients' that must be completed before each workshop, and an invitation list of client roles and employees who should attend. An agenda for each workshop and examples from other workshops and projects are also included.

Coordination with the employee representative group and management board

The employee representative group (worker's council) and the management board are important stakeholders in an intranet. Workshops and meetings should be planned for both groups, but in our experience, the content should be individually tailored.

Scalable training as webinars for up to 500 attendees

In addition to workshops with the intranet project team and meetings with stakeholders, it is sensible and necessary to introduce the organization's employees to the intranet. We offer personal face-to-face training for the intranet project team, and for 'lighthouse employees' (those who will market the intranet within the organization). The remaining employees can participate in remote training, with up to 500 participants able to attend a webinar at the same time. An organization with thousands of employees can demonstrate a prototype of the intranet, showing employees how well it works, and how they can use it to improve their day-to-day work.
